Automation & Chatbots

AI automation and chatbots

We build the small systems that take repetitive work off your team: answering common questions, booking appointments, routing leads, and moving data between your tools.

For: Businesses answering the same questions and retyping the same data every day.

Repetitive work adds up

The same questions, all day

Hours, prices, service areas, “do you do this?”. Your team answers them one at a time.

Leads wait for a reply

A form comes in at 7pm and nobody sees it until morning. By then they’ve called someone else.

Data typed twice

A form becomes an email, the email becomes a CRM entry, and the CRM entry becomes a spreadsheet row.

What we do

What we build

Answering and booking

  • An AI chatbot trained on your own FAQs, with a handoff to a person
  • Appointment scheduling that syncs with your calendar and sends reminders
  • An FAQ section built from your real content and the questions people actually ask

Leads

  • Lead qualification that asks the right questions and routes hot leads fast
  • Form-to-CRM automation: every submission summarized and sent to the right person
  • Quote calculators that give visitors a real range from your pricing logic

Reputation

  • Review monitoring across platforms
  • Drafted replies in your voice, approved by you

Workflows

  • n8n, Zapier or Make, picked for your situation
  • Connections between the tools you already pay for
  • Alerts when something needs a person

Platforms

n8n, Zapier or Make?

We use whichever fits. Zapier for simple, low-volume connections. Make when you need more logic without code. n8n for complex workflows, sensitive data or high volume, because it can be self-hosted.

Done properly

Automation that knows when to hand off

Every automation we build has a clear point where a person takes over: a question the chatbot can’t answer, a lead that needs a call, a record that doesn’t match. The handoff carries the context, so nobody starts from scratch.

Before we build, we write down what the automation will and won’t do. After launch, you get a short note on how it works and who to call if something looks off.

For agencies

Reselling these to your clients?

We build all of these white-labeled for marketing and web agencies.

How it works

From first call to running.

  1. 01

    Quiz or call

Take the 3-minute quiz or book a call, so we know where the time goes.

  2. 02 · 24–48 hrs

    Scope

A fixed scope and price for the automation that will save the most time.

  3. 03 · 1–3 weeks

    Build

Most single automations go live in one to three weeks.

  4. 04

    Launch and hand off

Tested with real data, documented, and running in your accounts.

What you own

It's yours. All of it.

Your domain, hosting, code, data and every account we set up are in your name. We work inside them with our own logins, and you can remove our access at any time. No proprietary platform, no lock-in.

What we've built

Work, described plainly

CollegeThoughts

A phased build for a college prep firm: a website chatbot, a Facebook DM workflow feeding one lead tracker, and an operations hub fed from Google Sheets. How it works

Kitsune Consulting

A complete website rebuild on Next.js, with lead capture flowing straight into the firm’s CRM. How it works

Pricing

Fixed-fee. Scoped up front.

Every project is fixed-fee and scoped after a short call. You get the price in writing before any work starts.

FAQ

Common questions

Will a chatbot frustrate my customers?

Not if it’s set up properly. It answers from your own FAQs, says it’s an AI, and hands off to a person whenever a question is beyond it or someone asks for a human.

Which platform do you use?

Whichever fits: Zapier for simple connections, Make for more logic without code, n8n for complex, sensitive or high-volume workflows.

Do I own the automations?

Yes. They run in accounts in your name, and you get documentation for how each one works.

What if something breaks?

On a Monitoring or Active Optimization plan, we fix it. Without one, support is available at standard hourly rates.

How long does an automation take to build?

Most single automations go live in one to three weeks once we have access to your tools.

Will it work with my CRM?

Most likely. If your CRM has an API or a native integration, we can connect to it. We confirm before quoting.
